Setting deadlines on the task

Set a deadline on a task if you want the next step in the process to proceed after a specified period of time. Tasks configured with deadlines appear with clock icons.

Deadline notifications can be sent in email messages, Workspace ES, or both:

You can set deadlines on a task. Deadline notifications execute when a task is not completed within a specific period of time. When the deadline executes, you can configure the task to follow a specific route. Deadlines guarantee that the process continues execution after a period of time has elapsed.

You can choose a specific route to an operation, as well as provide a deadline instruction in Workspace ES.

To set a deadline:

  1. Select the Assign Task operation in the process diagram, and in the Properties view, click the Deadline category.
  2. In the Deadline list, select either Literal Value or XPath Expression:

    If you select Literal value, perform the following steps:

    • Select Enable Deadline.
    • Specify the amount of time users have to complete a task after it is initially assigned to them. A time must be specified for the deadline to execute:
        • In the Days box, type the number of days for the deadline.
        • In the Hours box, type the number of hours in addition to the days you specified.
        • In the Minutes box, type the number of minutes in addition to the days and hours you specified.
    • To change the instructions when a deadline occurs, select Change Task Instructions On Deadline and, in the Deadline Instructions box, type the new instructions.
    • To specify the task to move to another step in the process diagram, select Follow A Specific Route On Deadline and, in the Select Route list, select an existing route.

    Note:   In the Select Route list, the text "[There Are No Outbound Routes]" appears when no route is available from the Assign Task operation.

    If you select XPath Expression, build an expression to a variable of type Task Deadline.

    Tip:   You can modify the days, hours, or minutes by using the up and down arrow button  beside each respective box.
